Volunteer Requirements and Deferred Fees

  • Participation in River Park Baseball requires a commit to completion of a minimum of 6 credits (per family) of volunteer opportunities this season. 
  • Participation also requires completion of two mandatory Snack Shack shifts during the period of your team’s assigned Snack Shack week.

At the time of registration, there will be a $250 volunteer fee which is deferred until a TBD date in June, at which time, if your volunteer hours are not fulfilled or Snack Shack shifts not worked, the fee will be charged to your credit card used at registration. Credits and/or team positions will be tracked during the season and volunteer payment commitments will be released once credits and shifts have been fulfilled. Credits will be tracked via a 3rd party volunteer tracking system linked to our website and verified by either the President, Vice president or Registrar. Our goal is to supply the appropriate committees and team managers with a list of volunteers to help make their team and our league successful.

Communications will be sent throughout the season, up until the TBD date in June, to those who have not fulfilled all their hours. There will be open volunteer opportunities offered throughout the season to fulfill your commitment to avoid being charged the volunteer fee. 

There will be ample opportunities for credits to be earned during the season for everyone.

Volunteer Opportunities and Descriptions

In the League, there are various volunteering opportunities. Some positions fulfill more than the required 6 credits and are referred to as Season Positions. Each position has an indicated maximum number of volunteers per team for that role. If a specific team position is split, only one designated person will receive their volunteer credit for that opportunity. 

Please note that not every volunteer position is needed at all levels of play. If your preferred volunteer opportunity has already been filled, your volunteer hours must be filled via an alternative opportunity.

Below, we’ve provided an overview of both specific volunteer positions as well as some general opportunities and estimated time requirements for each.

TEAM MANAGER – 1 per team (Season Position, Credit Requirements fulfilled)
This position is the team lead who is in charge of team players, assistant coaches and all communications between the League and parents regarding schedules, changes, rainouts and events. Managers instruct players in proper baseball skills, produce player lineups and provide overall player support and encouragement. Managers also help secure team parent, team scorekeeper and field maintenance persons (when applicable). Managers are subject to board approval and are not guaranteed a coaching position from year to year. This position also requires attendance at Manager meetings and possible instructional sessions/coaching clinics.

TEAM COACH – max 2 per team (Season Position, Credit Requirements fulfilled)
This position assists the Manager with anything involving team practices, player organization, skill building, game operations, equipment handling, team jersey distribution and general player and team support. This position also needs to assist the field maintenance person(s) with field setup and break down before and after games. Coaches are also subject to board approval and are not guaranteed a coaching position from year to year.

TEAM PARENT – max 1 per team (Season Position, Credit Requirements fulfilled)
This position assists the Manager and coaches with parent and team communications and general team support. The Team Parent role will also work with the League Volunteer Coordinator to track volunteer needs, requirements and fulfillment for that team. 

Team parent role can include:

  • Obtaining and distributing the team rosterSending out team communications to parents (e.g., special events, game or practice changes, parties, etc.)
  • Organizing a snack schedule (if agreed by team)
  • Planning the team’s end of season party
  • Organizing player trophies or appropriate coaches’ gifts
  • Putting player names on hats
  • Organizing and tracking volunteers among the team to help with the above tasks 

FIELD MAINTENANCE – maximum 2 per team for Majors, Minors and Rookies; maximum 1 per team for T-Ball (Season Position, Credit requirements fulfilled)
This position will be responsible for maintaining the fields for your team before and after games. If needed, it is beneficial to solicit additional help from team parents as well. 

Duties may include:

  • Attending mandatory pre-season Field Maintenance training
  • Relay and act as trainer to parents that sign up to help out
  • Assist at pre-season Field Improvement Day
  • Manage and perform all pre-game and post-game field maintenance duties (home team)
  • Put out and remove bases and plugs and store in field bins (if last game of the day)
  • Drag infield area avoiding contact with the grass
  • Rake, fill and tamp batter box and pitcher mound
  • Set up and put bases away in sheds (if first or last game)


SNACK SHACK VOLUNTEERS: Mandatory for all Player Parents

  • This position works as a team with a minimum of 2 other volunteers per each shift.
  • There should always be 3+ ADULT volunteers at the Snack Shack.
  • Children under the age of 16 are not permitted to work shifts in the Snack Shack unless cleared and placed on the approved volunteer list of replacement workers supplied by the Snack Shack Director.
  • Register for shifts on the RPB website. You will receive an email reminder the day before your shift -Duties to include: Selling food and drinks at the counter, and cleanup
  • There is no prior experience required for Snack Shack. It is the Snack Shack Director’s responsibility to insure appropriate coverage for all shifts. For any substitutions to the shifts or cancellations, a Volunteer/Snack Shack Director must be contacted in advance.
  • Failure to show for your scheduled volunteer shift without any communication will result in an automatic charge of the Opt-Out fee. 

SPECIAL EVENTS VOLUNTEERS: 3 credits (2 – 3 hour shifts)
There are a number of special events throughout our season. This position will act in any number of ways to ensure those events run smoothly. 

  • Working with the Volunteer Coordinator, you will be scheduled to work at a particular event, and will be directed on requirements and time needed for that event.
  • Some of the necessary areas required would be set up, check-in table, sheepherding, team organization for pictures, tracking, Hit-a-thon, clean up and/or could involve opening day duties, Snack Shack shift on a special event day. 

WORK DAY EVENTS: 3 credits (2 - 3 hours shifts)
Ciavarella Field is our own unique and timeless piece of Americana. In its own retro, throwback way it truly represents what a baseball field should be. The field is maintained entirely by the volunteers of this league, and continued upkeep on our prized field is a top priority. 

There will be 3 Ciavarella Field Work Day events throughout the season. We encourage all volunteers to join us in preparing and maintaining our incredible historic baseball field!


Volunteer Registration and Volunteer Application 

We would not be successful without your commitment to the League! Look to register for your volunteer preference on the league website. You will be notified of your confirmed commitment via email and informed of any further scheduling that needs to take place.

Season positions of Manager, Coach, Assistant Coach, Team Parent, and Field Coordinator are required to fill out a volunteer application available once you have logged into your River Park Baseball account.  An application must be filled out in the Volunteer section and e-signature applied.  Volunteers applying to Managing and Coaching positions are subject to a background check.  Log in and register here.

 

Volunteer FAQs

Q: I signed up to volunteer, but my top three choices have already been filled.   Does my family still need to fulfill the 6 credit requirement?
A:
Yes.  Volunteer slots are assigned on a first come, first served basis. The earlier you register as a volunteer, the greater the chance that you will be assigned an opportunity of your choice. However, there are many ways you can make a difference in providing a fun and enriching experience for our children. Therefore, if your top choices are not available, please select from the remaining RPB volunteer opportunities to fulfill your seasonal volunteer requirements. Q: I have multiple players in the league.  How many credits do I need?
A: Volunteer Credits are Per Family. Example: If you have 1 or 5 players in the league you only are responsible for your 6 credits as a family. 

Q: I have multiple players in the league.  How many Snack Shack shifts do I work?
A: Snack Shack Shifts are Per Team. Example:  If you have 2 players in the league, you are responsible for Snack Shack shifts for two (2) separate teams (4 shifts).

Q: What if I have volunteered to work a snack shack shift and it rains?
A: When it rains, Ciavarella may be closed. If Ciavarella Field is open, you will be required to work your snack shack shift as scheduled. If the field is closed, the snack shack will not open. In this case, you will receive credit for your Snack Shack shift. Contact your snack shack coordinator (numbers are on the web site) if you are unsure if you will still be needed.

Q: Are there partial credits for time volunteered?
A: There are no partial credits for the volunteer work. There are plenty of opportunities that are minimal time commitments for you to choose from. Just choose the jobs that appeals to you and go for it!
